Multi-Entity Cards & User Management

How to Properly Manage Employees Across Multiple Companies

Written by Emira Sibic

If your company consists of multiple subsidiaries (subcompanies) or if employees need access to different card programs, there are a few things to keep in mind when setting up users.

📌 Key Points at a glance

  • Do not create duplicate accounts: Do not create a completely new account with identical master data for the same person. This leads to error messages regarding the phone number and makes management difficult.

  • Multi-entity solution: Use the email alias feature (e.g., vorname.nachname+subcompany@firma.de) if a person needs to be listed in multiple subcompanies or card programs.
Please note: Check with your IT department to see if you can use aliases.

  • Master data changes: You can request changes to names, email addresses, or phone numbers directly through your finway contact.

🛠️ Case 1: Creating Employees in Multiple Subcompanies / Multiple Card Programs

If an employee needs access to multiple entities or card programs, use the email alias feature for additional logins

  1. Navigate to the appropriate subcompany

  2. In the menu on the left, you’ll find “Employees”; now select the employee

  3. In the options panel on the right, under “Email Alias,” enter the alias address

  4. When entering the email address, include a “+” followed by the suffix before the @ symbol.

  5. The account will be successfully created, and all verification emails will arrive in the employee’s main inbox as usual.

This requires that the employee has been granted access rights to the relevant subcompany in the system settings. To do this, go to “System Settings -> Users” and use the “+” icon to assign additional companies. More information on multi-client support can be found here.

📝 Case 2: Change of Name, Email Address, or Phone Number (Master Data)

If an existing employee’s information changes (e.g., due to a name change after marriage or a new phone number), please do not create a new user.

Instead, contact your finway representative or support@finway.de using the following email template to request the master data change form:

"Hello finway Team,

The following change (phone number change or name change, including email address change) has occurred for the following employee: [First Name Last Name].
([old phone number: xx, new phone number: xx])
([old email address: xx, new email address: xx])

Please issue the corresponding form to us for the company [xx.finway.de and specific company name].

Best regards,
xx"
